Who We Are & What This Covers
Elite Service & Enterprises, LLC ("Elite Service," "we," "us," or "our") is a Virginia Class A commercial contractor based in Chesapeake, Virginia, serving commercial customers across Hampton Roads. This Privacy Policy covers:
- Our public website at eliteserviceva.com and its subpages;
- Our EOS platform (the Elite Operating System at eos.eliteserviceva.com), which we use to manage service calls, work orders, quotes, scheduling, and customer records; and
- Our payment tools, including the customer-facing "Sign & Pay" checkout used to authorize and collect payment for completed work.
By using our website, platform, or payment tools, you agree to the practices described here. If you do not agree, please do not use them.
Information We Collect
Information You Provide Directly
When you contact us through a form (service inquiries, quote requests, Elite Advantage Program proposals, career applications) or work with us as a customer, we may collect: name and company name; email address; phone number; business or service-location address; details about your equipment, project, or service needs; industry and operational details; and any messages, notes, or attachments you include.
Information Collected Automatically
When you visit our website or use the EOS platform, we and our service providers automatically collect limited technical information, including your IP address and approximate location, browser type and version, operating system, device type, pages viewed, time on page, and referring website. This is used primarily in aggregate and is generally not identifying on its own.
Information Collected Through the EOS Platform
When we perform work for you, we create and store service records in EOS, such as work orders, job notes, equipment history, quotes and invoices, authorized signatures captured at the point of service, and photos or documents related to the work. Access is limited to authorized Elite Service personnel.
Payment Information
When you pay through our Sign & Pay checkout, payment card details are collected and tokenized directly by our payment processor, Intuit (QuickBooks Payments). In normal operation, Elite Service does not receive or store your full card number. See Section 05.
Information We Do Not Collect Through the Website
Our marketing website does not collect Social Security numbers, financial account numbers, or payment card data. Payment card information is handled only through the Sign & Pay checkout and our payment processor.
How We Use Information
- To respond to your inquiry and follow up on service requests, proposals, or questions.
- To prepare estimates and proposals based on your equipment, locations, and scope of work.
- To schedule, dispatch, and perform service, and to keep accurate service and equipment records.
- To bill for work and process payments, including invoicing and payment authorization and collection.
- To operate, secure, and improve our website and EOS platform, including aggregate analytics.
- To meet legal, tax, licensing, and recordkeeping obligations.
We do not sell your personal information, and we do not use it to send unsolicited marketing unrelated to our services.
Cookies, Analytics & Google Analytics
Our website uses cookies and similar technologies to support core functionality and to understand how visitors use the site. You can control cookies through your browser settings, including blocking or deleting them, though some features may not work as intended if you do.
Google Analytics
We use Google Analytics 4 (GA4), a web analytics service provided by Google LLC, to measure and understand how visitors interact with eliteserviceva.com. Google Analytics uses cookies and similar identifiers to collect information such as the pages you visit, links and buttons you interact with (including clicks on our phone-call and contact links), how you arrived at our site, your approximate location, and your device and browser characteristics. This helps us see which services and pages are most useful and improve the site.
Google Analytics 4 does not log or store your full IP address. Information collected is processed by Google on our behalf and is also subject to Google's own privacy practices. Google may use data collected through its services as described in its policies. You can opt out of Google Analytics across websites by installing the Google Analytics Opt-out Browser Add-on, or by blocking analytics cookies in your browser. We do not use analytics data to build advertising profiles or to sell your information.
Payment Processing
Card payments made through our Sign & Pay checkout are processed by Intuit, Inc. using QuickBooks Payments. When you enter card information to authorize a payment, that card data is transmitted directly to Intuit and converted into a secure token. In normal operation, Elite Service does not receive or store your full card number, expiration, or security code.
What we store: a payment token and non-sensitive transaction details such as the last four digits of the card, the cardholder name, the amount, the date, and Intuit's confirmation or authorization reference, so we can match the payment to your work order and provide receipts and support.
Intuit acts as the payment processor and handles card data in accordance with its own terms and privacy practices and applicable payment-industry (PCI DSS) requirements. Your use of the payment feature is also subject to Intuit's terms. For information about how Intuit handles data, see Intuit's Privacy Statement.
Sharing & Disclosure
We do not sell, rent, or trade your personal information. We share information only in these limited circumstances:
- Service providers and processors. We use trusted third parties for website hosting, analytics (Google Analytics), payment processing (Intuit / QuickBooks Payments), email delivery, mapping, and scheduling. These providers access information only as needed to perform their services.
- Subcontractors and manufacturer partners. When a project requires it, we may share relevant project information with subcontractors or factory-authorized service partners to complete your work.
- Legal requirements. We may disclose information if required by law, subpoena, court order, or other valid legal process, or to protect the safety, rights, or property of our company, customers, or others.
- Business transitions. In a merger, acquisition, or sale of assets, customer information may transfer to the successor entity.
Data Retention
We retain personal information only as long as needed for the purposes in this policy. For customers, this typically means the duration of the service relationship plus a reasonable period afterward for warranty support, equipment service history, payment records, and legal or tax recordkeeping. Inquiry submissions that do not become a service relationship are typically retained for up to 24 months before deletion or anonymization. Payment tokens and transaction records are retained as required for accounting, warranty, and dispute-resolution purposes.
Data Security
We take reasonable measures to protect information, including encryption of data in transit (HTTPS), tokenization of payment card data through our processor, and access controls limiting platform access to authorized personnel. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you have a specific security concern about information you have submitted, please contact us directly.
Your Rights & Choices
Depending on your location and applicable law (including the Virginia Consumer Data Protection Act and similar state laws), you may have the right to:
- Access the personal information we hold about you;
- Correct inaccurate information;
- Delete personal information, subject to limits for active service relationships, payment and warranty records, and legal recordkeeping;
- Opt out of non-essential communications; and
- Opt out of analytics using the tools described in Section 04.
To exercise any of these rights, contact us using the details below. We will respond to verified requests within a reasonable timeframe. We do not sell personal information or use it for targeted advertising.
Children's Privacy
Our website, platform, and services are directed to commercial businesses, not to children. We do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it promptly.
Third-Party Links & Services
Our website and platform may link to or rely on third-party services (for example, Google, Intuit, mapping providers, and social media). We are not responsible for the privacy practices of those third parties, and their use of your information is governed by their own policies. We encourage you to review the privacy policies of any third-party service you use.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date above. Material changes will be noted prominently or communicated to active customers. Your continued use of our website, platform, or payment tools after changes are posted constitutes acceptance of the updated policy.
